Cancellation & Refund Policy

This policy explains how appointment cancellations, deposits, and refunds work with Cowboys Air Conditioning & Heating.
1. Appointment Cancellations & Rescheduling
We ask for at least [24 hours'] notice to cancel or reschedule a service appointment. This lets us offer the slot to another customer. Cancellations with less notice, or missed appointments where we cannot access the property, may incur a [$___] trip/missed-visit fee.
2. Diagnostic & Trip Fees
A diagnostic or service-call fee may apply to evaluate your system and is disclosed before the visit. This fee covers the technician's time and travel and is [applied toward an approved repair / non-refundable] as stated at booking. Maintenance plan members may have this fee waived.
3. Deposits on Installations
For equipment installations and larger projects, we may require a deposit to schedule the work and order materials. Unless stated otherwise:
- Deposits are applied to the final invoice.
- If you cancel before equipment is ordered or work begins, your deposit is refundable less any non-recoverable costs (for example, restocking fees or custom orders).
- Once equipment is ordered or installation has begun, deposits may be non-refundable to the extent of costs incurred.
4. Completed Work
Charges for completed service and installed equipment are generally non-refundable. If you are not satisfied, contact us promptly and we will work to make it right under our Workmanship & Warranty Policy.
5. Maintenance Plans
Cancellation and refund terms for maintenance plans are described in the Maintenance Plan / Membership Agreement.
6. Refund Processing
Approved refunds are issued to the original payment method within [___ business days]. Financed purchases are credited according to the lender's process.
7. Three-Day Right to Cancel
